1. Start with the intended application
Coffee for specialty roasting, espresso blending, soluble production, or private-label use may require different origins, grades, processing, and commercial consistency.
2. Write measurable product parameters
Include origin, variety where relevant, grade, process, crop, moisture, defect limit, screen size, density or sensory requirements, quantity, and acceptable tolerances.
3. Align sample and contract
A sample is useful only when the approved reference and measurable specification are reflected in the quotation, purchase order, or sales contract.
4. Confirm packing and logistics
State bag material, bag weight, liner, markings, pallet preference, loading port, destination port, Incoterm, documentation, and target shipment window.
5. Agree the inspection scope
Define who inspects, when inspection occurs, which test method applies, how tolerances are handled, and whether third-party inspection or laboratory testing is required.
